Applications – Exhibitor applications will be reviewed and assigned a table(s) on a first-come, first-served basis. Once the application has been received, the exhibitor will receive a confirmation letter and further information on exhibiting including shipping, audio visual needs, and schedule as well as general conference information. 2. Exhibit Payment – No tables will be guaranteed until the 2025 APC Conference receives full payment of exhibit. The exhibitor expressly understands that all space must be paid for in full on or before April 10, 2025. If assigned space is not paid in full by the specified dates, it will be reassigned to another exhibitor at the discretion of APC 3. Exhibit Cancellation Policy – Cancellations made in writing before April 10, 2025 will receive a 50% refund. No refunds will be issued for cancellations received after that date. 4. Hold Harmless Clause – The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of injury or damage to exhibitor’s displays, equipment and other property brought upon the premises of the hotel, and shall indemnify and hold harmless the association, hotel, agents, servants and employees from any and all such losses, damages and claims. In addition, the exhibitor acknowledges that it is the sole responsibility of the exhibitor to obtain business interruption and property damage insurance covering such losses by the exhibitor. 5. Audiovisual / Power / Internet Needs – Upon confirmation, you will receive contact information and an order form for your convenience. Exhibitors are responsible for payment for audiovisual equipment, internet access and power ordered. There will be no internet access in the exhibit hall unless ordered and paid for by an exhibitor individually. 6. Hotel Property – In respect to the hotel and its property, exhibitor information, displays, products or any other exhibitor material may not be hung, taped, nailed, stapled or in any other way posted onto the hotel walls or pillars. 7. Setup and Breakdown – Setup for Exhibitors on June 12 from 9:15 am – 2:00pm, Breakdown of Exhibitors is June 14 from 3:00pm – 4:30pm. 8. Exhibit Hours – The Exhibit Hall will be open June 12 from 3:00pm – 9:30pm, June 13 from 7:30am – 9:30pm and June 14 from 8:00am – 2:55pm 9. Signage – Table identification and display signs are the responsibility of the individual exhibitor. 10. Security – Security will be provided at all times the exhibit area is closed. Exhibitors are responsible for covering their tables each day. 11. Exhibitor Tables – Exhibitors will receive (1) 6ft table with 2 chairs. Up to (1) additional table can be purchased for an additional expense. Exhibitor tables will be set up prior to arrival based on how many total tables were requested and paid for. Due to limited space, exhibitors will only be able to use those tables provided by the hotel. And additional personal tables brought by exhibitors will not be allowed. 12. Shipments to the conference hotel – Exhibitors will receive additional details on shipping exhibit items and merchandise to the property closer to the date of the conference as part of your exhibitor package. All arrangements and fees for shipments to and from the hotel will need to be made through the hotel.
